Dear Deep Run Families,

Deep Run is a special place where a wonderful staff seeks to teach students and help them grow. We want all students to reach their dreams. We need all our students to show up evertyday. This is a priority for the HCPSS and Deep Run.

Research is clear that showing up for school has a huge impact on a student’s academic and social success, starting from kindergarten and continuing through high school. Absences can be a sign that a student is losing interest in school, struggling with school, or even facing social challenges.

• Missing 10% (or about 18 days of a school year) can drastically affect a student’s academic success.
• By the 6th grade, absenteeism is one of three signs that can indicate if a student is at risk for dropping out of high school.
• In the 9th grade, regular and high attendance predicts graduation rates better than 8th grade test scores.

Student attendance is a major point of focus for the Maryland State Department of Education (MSDE). Starting in the 2023-2024 school year, MSDE lowered the chronic absenteeism rate from 20% to 10%, meaning that at 10%, a student should receive support and interventions to improve their absenteeism.

Howard County Public School System (HCPSS) believes that attendance is key to student success. Maryland's attendance rate represents the average daily attendance rate of students in grades 1-12, including special education students. The state's proficient standard for attendance rate is 94%, and the advanced standard is 96%."

In support of achieving Exemplary Attendance for all students, we are sharing with you a comprehensive approach to attendance supports and interventions. 

• If a student has missed 5% of their monthly attendance days (as few as 1-2 days a month), parents/guardians will receive a Care and Concern Phone Call and letter from their school. This step will allow staff members to coordinate with families to determine how the student can be supported for better attendance.
• If a student has missed 10% of their monthly attendance days (this is defined as chronic absenteeism by MSDE), parents/guardians will receive a 10% Chronic Absenteeism Attendance Letter. Parents/guardians and students may be scheduled for an attendance conference. Other interventions and supports may also be used in an effort to assist the student.
• If a student has missed 15% of their monthly attendance days, in addition to the interventions and supports at 5% and 10%, these students may require an attendance support plan. Students may also be referred to the Central Attendance Team.
• If a student has missed 20% of their monthly attendance days, parents/guardians will receive a 20% Emergency Chronic Absenteeism Letter or Habitual Truancy Letter. Students may be referred to Project Attend and/or the State’s Attorney’s Office for habitual truancy.

La investigación es clara en cuanto a que presentarse en la escuela causa un impacto enorme en el éxito académico y social de un estudiante, comenzando en kindergarten y continuando hasta la escuela secundaria. Las ausencias pueden ser una señal de que el estudiante está perdiendo interés en la escuela, tiene dificultad en la escuela o incluso se enfrenta a desafíos sociales.

• Faltar un 10% (o unos 18 días del año escolar) puede afectar el éxito académico de un estudiante drásticamente.
• Hasta 6º grado, la ausencia es una de las tres señales que indican si un estudiante se encuentra en riesgo de abandonar la escuela secundaria.
• En el 9º grado, la asistencia habitual y superior es un mejor vaticinador de tasas de graduación que los puntajes de exámenes de 8º grado.

La asistencia estudiantil es un punto importante de enfoque para el Departamento de Educación del Estado de Maryland (MSDE, por su nombre en inglés). A partir del año escolar 2018-2019, el MSDE redujo la tasa de ausentismo crónico de 20% a 10% lo cual indica que al 10%, un estudiante debiera estar recibiendo apoyo e intervenciones para mejorar su ausentismo.

El Sistema de Escuelas Públicas del Condado de Howard (HCPSS, por su nombre en inglés) cree que la asistencia es clave para el éxito estudiantil. Según la Norma 9010, el HCPSS define la asistencia ejemplar como una tasa de asistencia final de al menos un 96% del año del estudiante.

En apoyo al logro de la Asistencia Ejemplar para todos los estudiantes, compartimos con usted un alcance integral para apoyos e intervenciones de asistencia. 

• Si un estudiante faltó un 5% de sus días de asistencia mensual (tan poco como 1 a 2 días al mes), los padres recibirán una Llamada Telefónica de Cuidado y Preocupación y una carta de su escuela. Este paso permitirá que los miembros del personal coordinen con las familias para determinar cómo puede apoyarse al estudiante para mejorar su asistencia.
• Si un estudiante faltó un 10% de sus días de asistencia mensual (el MSDE define esto como ausentismo crónico), los padres recibirán una Carta de Asistencia de 10% de Ausentismo Crónico.  Puede ser que se programe una conferencia de asistencia para los padres y estudiantes.  Pueden utilizarse otras intervenciones y apoyos a efectos de asistir al estudiante.
• Si un estudiante faltó un 15% de sus días de asistencia mensual, además de intervenciones y apoyos al 5% y 10%, estos estudiantes pueden requerir un plan de apoyo de asistencia. Los estudiantes también pueden ser derivados al Equipo de Asistencia Central.
• Si un estudiante faltó un 20% de sus días de asistencia mensual, los padres recibirán una Carta de 20% de Ausentismo Crónico de Emergencia o Carta de Inasistencia Crónica y Habitual sin Autorización.  Los estudiantes pueden ser derivados al Proyecto Asistencia y pueden ser derivados a la Oficina del Fiscal General por inasistencia habitual sin autorización.

If your student is absent or will be absent, please contact us at the following email address to explain the reason: dresabsence@hcpss.org.  In the email please Include the following information:

• Student First and Last Name

• Grade 

• Reason for absence (e.g., illness, bereavement, observance of a religious holiday, lack of transportation)

Discretionary Days

HCPSS students are granted 3 days a year to use at their discretion for scheduled interviews with prospective employers, visits to post-secondary institutions, family trips, civic engagement, and other special events.

• Such absences may not occur during exam or state-mandated testing periods unless authorized by the principal/designee.

• A written request for such absences to be lawful/excused should be submitted at least one week in advance to the principal/designee. Please download the PDF fillable Discretionary Absence Form and email it dresabsence@hcpss.org. The form is also available in Chinese, Korean, and Spanish

• If you are requesting a day for a religious holiday not identified by the Howard County Public School System school calendar, please download the PDF fillable Religious Obligation Form and email it to dresabsence@hcpss.org.
